Terms of Service

These terms are an agreement between you and coachmanagement. They apply when you visit our website, request a demo, or use the coachmanagement app and related services.

Last updated: 24 October 2026 · Effective from: 24 October 2026

1. About these terms

These Terms of Service (“Terms”) are an agreement between you and coachmanagement (“we”, “us”), operated from India. They apply when you visit our website, request a demo, or use the coachmanagement app and related services (the “Service”).

By creating an account, accepting an invitation, or using the Service, you agree to these Terms and to our Privacy Policy and Refund Policy. If you do not agree, please do not use the Service.

If you use the Service for a coaching centre, school, academy or business, you confirm that you have authority to accept these Terms on its behalf. “You” then means both you and that centre.

2. What the Service does

coachmanagement is software that helps coaching centres and tutors record students, batches, fee dues and payments, view dashboards and reports, prepare reminders and receipts, and export their records.

What we are not. We are not a bank, payment collector, payment gateway or accountant. We do not hold, receive or transfer the fees that students or parents pay to you. Payments go directly from the payer to your own account. We do not teach, set your fees, or take part in disputes between you and students or parents. We record what you tell us, and we do not verify it.

3. Eligibility and accounts

  • You must be at least 18 years old and able to enter a binding contract under Indian law.
  • Give accurate details when you sign up and keep them up to date.
  • You are responsible for everything done through your account and your team's logins. Keep your password private, use a strong one, and tell us quickly if you suspect misuse.
  • Create a separate login for each team member. Do not share one login among several people.
  • Students and parents do not need accounts. Only the logins you create can change your centre's records.

4. Plans, prices and payment

Our current plans and prices are shown on our website. Prices are in Indian rupees (INR). Subscriptions are billed in advance for each period.

  • If a payment fails, we may retry it, and we may restrict your account as described in section 12.
  • If you exceed your plan's limits (for example, number of students or logins), we may ask you to upgrade or pay for extra capacity. We will tell you before applying any extra charge.
  • Refunds are covered in our Refund Policy.
  • Free demos or trials are for evaluation only.

5. Assisted setup and the Managed plan

On supported plans, our team may help set up your account or enter and update records for you, based on the information you send us. You remain responsible for the accuracy and completeness of the information you give us. We are not responsible for errors caused by wrong, late or incomplete information.

You choose whether we may access your account, and you can withdraw that permission at any time. Our access is limited to providing support or the service you bought, and our actions are recorded in the account's activity log.

We will never ask for your password, UPI PIN, one-time passwords, card numbers or net-banking details. Do not share them with us or anyone claiming to represent us.

6. Your data and your responsibilities

Your data stays yours. You own the records you and your team enter. You give us a limited licence to store, process and display them only so we can provide the Service to you, as explained in our Privacy Policy.

As the centre that collects information about students and parents, you are responsible for:

  • Having a lawful reason to collect and use that information, and any consent the law requires, including consent from a parent or guardian for children under 18.
  • Entering only data that is needed for managing fees and classes. Do not enter government ID numbers, health details, card or bank details, or similar sensitive information.
  • Keeping the information correct and responding to requests from students and parents.
  • Following all laws that apply to your business, including tax, consumer protection and data protection laws.
  • Checking amounts, dues and reminders before relying on them or sending them to others.

Export and backup. You can export your data at any time from the app. Please keep your own copy of important records. We take regular backups, but we cannot promise that every record can always be recovered.

7. Reminders, receipts and communications

The app may prepare reminders and receipts, for example by opening a pre-written message in WhatsApp on your device. You decide what to send and to whom, and you are responsible for the content, for having the right to contact the people involved, and for following the rules of WhatsApp and any other service you use. Messages sent through third-party services are governed by their terms and privacy policies, not ours.

We may email you service messages about your account, billing, security and changes to the Service. We will send marketing messages only if you agree to receive them.

8. Acceptable use

You agree not to:

  • Use the Service for anything unlawful, fraudulent, deceptive or harmful.
  • Enter someone's information without a lawful right to do so, or enter false information.
  • Try to access another centre's data, test our security without written permission, or interfere with how the Service works.
  • Copy, resell, reverse-engineer or build a competing service from our software or content, except where the law allows.
  • Upload viruses, harmful code or content that is unlawful or infringes others' rights.
  • Use automated tools to scrape or overload the Service.
  • Share your account with people outside your centre, or sell access to it.

We may suspend or end access if we reasonably believe you have broken these rules.

9. Our rights in the Service

The Service, including its software, design, text and branding, belongs to us or our licensors and is protected by law. We give you a limited, non-exclusive, non-transferable right to use it for your own centre's business while these Terms apply. We do not give you ownership of any of it.

If you send us suggestions or feedback, we may use them to improve the Service without owing you anything.

10. Third-party services

The Service depends on third parties, such as hosting, database, email and payment providers, and apps like WhatsApp and UPI apps that you choose to use alongside it. We are not responsible for their availability, charges, policies or actions. Our Privacy Policy lists the providers we currently use.

11. Availability and changes to the Service

We work to keep the Service available and secure, but we do not promise it will always be uninterrupted or error-free. There may be maintenance, outages or updates. We may add, change or remove features, and we will give reasonable notice if a change significantly reduces what you pay for. Features marked “coming soon” are plans, not promises.

12. Suspension and termination

You can cancel at any time from your account settings or by contacting us. Cancellation takes effect at the end of the period you have paid for, unless the Refund Policy says otherwise.

We may suspend or end your access if you break these Terms, if payment is overdue after we have reminded you, if your use creates a security or legal risk, or if we stop offering the Service.

What happens to your data:

  • If payment is overdue or your plan ends, we will first place your account in read-only mode for 60 days so you can view and export your records.
  • After that period, we may delete or anonymise your data, except for records we must keep by law. Backups are removed on their normal schedule.
  • If we end the Service entirely, we will give you at least 30 days' notice and a chance to export your data.

13. Disclaimers

The Service is provided on an “as is” and “as available” basis, to the extent the law allows. We do not promise that:

  • The Service will meet every need of your centre or be free of errors.
  • Reports, dashboards or insights are complete or suitable for tax, legal or accounting decisions. They reflect the information entered and are not financial, tax or legal advice.
  • Any particular student or parent will pay, or that using the Service will increase your income.

You should keep your own records and have important financial matters checked by a qualified accountant.

14. Limitation of liability

To the fullest extent the law allows:

  • We are not liable for indirect, incidental, special or consequential losses, or for loss of profit, income, goodwill or data, arising from your use of the Service.
  • Our total liability to you for any claim related to the Service is limited to the amount you paid us for the Service in the 3 months before the event that caused the claim.
  • We are not liable for losses caused by your errors, by information you or others entered, by third-party services, by events outside our reasonable control, or by anyone who gained access to your account because you did not keep your login details safe.

Nothing in these Terms limits liability that cannot be limited under Indian law, or any rights you have as a consumer that the law does not allow us to exclude.

15. Indemnity

You agree to cover our reasonable losses and costs arising from a claim by a third party (for example, a student, parent or authority) that results from your breach of these Terms, your unlawful use of the Service, or data you entered without the right to do so.

16. Changes to these Terms

We may update these Terms and our plans or prices. For significant changes, we will give at least 30 days' notice by email or in the app before they take effect, and price changes will apply from your next billing period. If you do not agree, you can cancel before the change takes effect. If you keep using the Service after that, you accept the updated Terms.

17. Governing law and disputes

These Terms are governed by the laws of India. We encourage you to contact us first so we can try to resolve any problem informally. If we cannot, the courts at Mumbai, Maharashtra have jurisdiction, subject to any mandatory rights you have under Indian law.

18. General

  • Whole agreement: these Terms, the Privacy Policy and the Refund Policy are the entire agreement between us about the Service.
  • If part is invalid: the rest stays in force.
  • No waiver: if we do not enforce a right straight away, we have not given it up.
  • Assignment: you may not transfer your rights under these Terms without our written consent. We may transfer ours as part of a business sale or reorganisation, and we will tell you if that happens.
  • Notices: we may send notices to the email address on your account. You can contact us at the details below.

19. Contact and grievances

Support is available via the email or WhatsApp number listed on our website during business hours (9:00 AM – 7:00 PM IST). We aim to acknowledge complaints within 48 hours and resolve them within 30 days.

This is a testing version of the Terms. Before going live to paying customers, have a lawyer review these terms — especially the liability limit, indemnity, governing law and dispute clauses — and replace all contact details with real ones.
